Bay Area Apartment Moving Checklist: From Booking to Moving Day

An apartment move in the Bay Area involves more than packing your belongings. Elevator reservations, stairs, loading areas, and the walk from the truck to your door can shape the entire day. Whether you are moving within San Jose, between Sunnyvale and Santa Clara, or to another Bay Area community, use this checklist to organize the details before the moving crew arrives.

Before booking: collect the details for both apartments

Write down the full pickup and delivery addresses, including apartment numbers and floor numbers. Note whether each building has stairs, an elevator, a gate, or a separate loading entrance. Tell your mover if the elevator does not reach your floor or if there are steps between the entrance and your unit.

Make an inventory of large furniture and estimate the number of boxes. Include balcony furniture, bikes, items in a garage or storage locker, and anything that belongs to you outside the apartment. Send photos of unusually large or delicate pieces, and mention furniture that may need disassembly. Update the inventory if your plans change before moving day.

Ask the property manager about moving access

Check with both buildings before selecting a final time. Ask whether moves are limited to certain hours, whether a service elevator must be reserved, and where the crew should enter. If the building requests insurance documentation or other paperwork, send its requirements to the mover early so they can be reviewed.

Confirm how long the elevator reservation lasts and whether it covers both loading and unloading at the relevant building. Arrange access to gates and loading doors, and keep the property manager’s contact details handy. Do not assume that the rules at your new apartment match those at your current one.

Plan a usable loading spot

Look at the route from the proposed truck parking location to your apartment door. Share tight turns, low garage entrances, narrow driveways, and long hallways with the moving team. A parking space that works for a passenger car may not work for a moving truck.

Ask the property manager which loading spaces may be used and how they are reserved. If street parking is the only option, check the posted restrictions and ask the appropriate local office about any required arrangements. Keep fire lanes, sidewalks, and other required access clear. Tell the mover if the truck may need to park farther away so the carrying distance is part of the plan.

Pack room by room and label for the destination

Start with things you will not need before the move. Use sturdy boxes, tape the bottoms securely, and keep heavy items such as books in smaller boxes. Fill empty spaces around fragile items with suitable cushioning so they cannot shift freely. Close boxes securely and avoid leaving loose belongings balanced on top.

Label the top and a side of each box with its destination room and a short description. Mark fragile boxes clearly. A label such as “Kitchen — mugs — fragile” is more useful than “Miscellaneous.” If the new apartment has several bedrooms, choose simple room names and use the same names when directing the crew.

If you need help packing, discuss it when requesting your quote. Everlasting Moving can assist with packing and unpacking using boxes supplied by the customer. Confirm what you will pack yourself, what the crew will handle, and which supplies need to be ready.

Prepare furniture and keep small parts together

Measure large pieces and tight doorways when you are unsure about clearance. Share photos of beds, desks, or tables that may need to come apart. Discuss disassembly and reassembly ahead of time, including any unusual construction or manufacturer instructions.

If you disassemble furniture yourself, place screws and fittings in clearly labeled bags and keep them together. Photograph cable connections before disconnecting electronics. Point out existing damage and delicate surfaces during the initial walkthrough. Clear items from furniture according to the moving team’s instructions rather than assuming loaded drawers can stay in place.

Keep an essentials bag out of the moving load

Set aside keys, identification, important documents, medication, chargers, small valuables, toiletries, and a change of clothes. Add the items you will want during your first evening, such as towels and basic bedding. Keep this bag with you and mark other belongings that should not be loaded.

Arrange a safe place for children and pets away from open doors and the carrying route. Make sure someone can stay reachable at the pickup address and someone has access to the destination. If one person is handling both, discuss the timing before loading begins.

On moving day: walkthrough, placement, and final check

Walk through the apartment with the crew and point out everything included in the move. Identify fragile pieces and items staying behind. At the destination, explain the room labels and where large furniture should go before unloading starts.

Before leaving the old apartment, check closets, cabinets, bathrooms, the balcony, and any separate storage areas. At the new apartment, review furniture placement and any agreed reassembly with the team. Keep your building’s key return and move-out inspection arrangements separate from the crew’s moving schedule.

Request a quote for your apartment move

Send Everlasting Moving your preferred date, both addresses, furniture inventory, estimated box count, stairs or elevator details, and packing needs. Include building time restrictions and the expected distance from the truck to each door. We will review these details with you so the moving plan and quote reflect your actual move.

Confirm the crew, truck arrangements, minimum charge, travel charges, payment terms, and any requested additional work before booking. Prices are provided through a personalized quote rather than a single price for every apartment.
